Start with Help Scout for a small team handling personal email conversations and publishing helpful answers. Choose Freshdesk when the business needs a formal ticket queue and customer portal. Compare Zoho Desk when low entry seat cost matters and the team can select its edition around specific channel and workflow limits. Add Zendesk when ticket routing and business rules are the priority and the team accepts a substantial Suite upgrade for customer self-service and messaging.
These choices cover different first-help-desk needs. A business that must stay inside Gmail should use our Gmail-native shortlist; an ecommerce store should also compare the Shopify comparison.
Small-business help desk comparison
| Product | Choose it for | Useful starting capability | Cost boundary |
|---|
| Help Scout | Shared email, chat and customer knowledge | Conversation ownership and native Docs | Free has a contact cap; paid plans use seats and separate optional AI |
| Freshdesk | A structured email-to-ticket operation | Growth ticketing, portal and knowledge base | Standalone Freshdesk differs from Omni |
| Zoho Desk | A small, budget-sensitive email team | Express email ticketing and basic workflow | Five-user Express cap; public knowledge starts at Standard |
| Zendesk | A team that prioritizes formal ticket routing and repeatable rules | Support Team routing, triggers and automations | Support Team is email ticketing; knowledge and messaging start at Suite Team, $55 per agent/month annually |
Help Scout: support conversations and a public answer library
Help Scout's shared inbox, Beacon chat and Docs knowledge base form a practical starting set for a customer-facing team. Standard adds manual and automatic workflow rules for assignment, status and tags. The value is a shared record that a colleague can pick up without asking the previous responder to forward the conversation.
The current plan page lists a Free tier with five users, one inbox, one Docs site and 100 contacts per month. That is useful for a genuinely small contact volume; a five-person team is not automatically a fit if it serves many customers. Standard's annual price starts at $25 per user per month. Additional inboxes, Docs sites and AI Answers are separate cost considerations. Read the Help Scout pricing breakdown.
Freshdesk: ticketing and self-service as the operating model
Freshdesk Growth includes the ticketed shared inbox, automation, customer portal and knowledge base. It suits a team that wants requests to become records with an owner and a tracked resolution. The standalone price page lists Growth at $19 per agent per month annually. That is the relevant starting seat calculation for email ticketing.
Use the separate Freshdesk Omni documentation when live chat and AI chat are requirements. A basic web knowledge/ticket-form channel in standalone Freshdesk is a different scope. Do not compare the standalone price with another vendor's full live-chat package. The Freshdesk pricing guide keeps the two editions separate.
Zoho Desk: price the edition that meets the actual need
Zoho Desk Express is a useful shortlist entry for up to five users handling email support. Its annual rate is $7 per user per month, compared with $9 on monthly billing. The important limits are concrete: two support email channels and one ticket workflow rule. If the team needs a public knowledge base, start the edition comparison at Standard; multilingual knowledge comes higher again.
This is why a low advertised seat price should be paired with the edition matrix. Choose by the number of mailboxes, rules and customer self-service requirements. See the Zoho Desk pricing guide for the same boundaries in context.
Zendesk: structured ticket rules, with a Suite price step for self-service
Zendesk pricing positions Support Team at $19 per agent per month paid yearly for email ticketing, routing, pre-written responses, automations and triggers. That is a capable formal queue for a team outgrowing a shared inbox. The choice changes if customers need self-service or the team needs live chat: Suite Team includes one help center and up to 50 AI-powered automated answers, while the price page lists Suite Team at $55 per agent per month paid yearly and adds messaging/live chat and telephony. Treat that $36 per-seat annual-billing step as the deciding boundary for a small team.
Example: five people choosing their first help desk
For five paid agents billed annually, the published entry seat rates give $125 per month for Help Scout Standard, $95 for Freshdesk Growth, $35 for Zoho Desk Express and $95 for Zendesk Support Team ($19 × 5). Zendesk Suite Team is $275 ($55 × 5). These are different configurations: Express does not include the public knowledge-base entitlement described for Standard, and the Freshdesk figure is standalone rather than Omni. Use the calculation to budget the shortlist, then select the configuration that actually covers the required channels and self-service.
Start the trial with a normal customer email, a colleague handover, a waiting request and a repeat question that deserves an article. Check assignment, reply history and the package limits the team will hit first.
